How many times have you called up a company to find that the person at the reception is bored and most unhelpful? If you are working in a company, make sure that you don't sound like that person because you could be driving away business!
What do you say when you pick up the phone?
- Smile before you pick up the phone. Your voice too will smile!
- Announce the name of your company: Hello! This is reception at XYZ! How may I help you?
- If the person at the other end asks for a Das Gupta and there are two Das Guptas in your office, offer help. The caller may not know!
- Say: There are two Das Guptas in our office. Would you like to talk to the person in HR or the person in servicing, sir?
- When you are connecting the person, say: Hold on a minute, sir. I will connect you to Mr. Das Gupta.
- Do not put your caller on hold forever, inflicting him to some inane music.
- In case your caller needs to hold on for a long time, get back to him every minute and say: Please hold on, sir. Mr. Das Gupta seems to be on another line.
- If you feel that you have made your customer wait for too long, say: Could I have your name and number, please? I will ask Mr. Das Gupta to call you back.
- Make sure you take down the name and number correctly so that you can convey the correct information to Mr. Das Gupta.
- End your call with: Thank you for calling, sir. I am sorry for the inconvenience. Have a nice day. Mr. Das Gupta will call you back.
In today's world, you need to retain your customers. As part of the organisation, you are in every way responsible for driving away customers too.
Practise saying hello. Do you sound pleasant? Are you too loud? Do you sound timid? Do you sound bored and unhelpful? A simple five letter word like hello can reveal so much about your personality to the listener. Have you ever thought about this?

It's essential to practice proper telephone etiquette at all times. This is because every person who answers the telephone for your business has the potential to gain or lose business. Just my thought!
